How Vehicle Return Works in Kasura
Return is the vehicle handover process in which staff record condition, odometer and fuel, apply fees and resolve the deposit — an inspection with financial consequences.
When this workflow is used
This workflow runs when a vehicle comes back from an active rental and its condition, mileage, fuel level and any fees need to be assessed before the vehicle goes back into the available fleet.
Before the return
Return can only be started once pickup has been completed for that booking — Kasura blocks the return action until the vehicle has actually left with the customer. Staff open the return from the active booking; any outstanding balance the customer owes is visible before the return is confirmed.
Fast Track return
For an uneventful return, staff can use Fast Track. Kasura pre-fills sensible defaults — no damage, full deposit returned, and fuel level one step below the recorded pickup level — while staff still enter the odometer reading and, where enabled, confirm whether any helmets came back. Fast Track is a manual staff choice for a clean return, not an automatic inspection.
Detailed return
When something needs documenting, staff switch to 'Edit return details' instead, which exposes the fields hidden in Fast Track: fuel level at return, damage notes, and fee entry (refuel fee, damage fee, late-return fee, lost-helmet fee), plus optional return notes and photos.
Deposit and fee resolution
Every return ends with one of three deposit outcomes: the full deposit is returned, fees are deducted from it, or the deposit is kept in full — the last option requires a written reason. Kasura calculates the amount to return or the amount still owed from the deposit and the fees entered; staff decide whether a given fee is justified.
Resulting operational state
Once a return is completed, the booking is marked returned and the vehicle's asset status is set back to available in the fleet.
How this differs from accommodation check-out
Accommodation check-out shares the same underlying dialog component but is a functionally different process: it has no odometer, fuel or vehicle-condition fields, there is no Fast Track option for accommodation, and its outcome is a room-readiness state rather than a return to a vehicle fleet.
What this workflow does not mean
- This workflow does not include automatic damage detection or an automatic condition assessment — every damage note and fee is entered by a staff member.
- This workflow does not use GPS or telematics data; the odometer reading is entered manually.
- This workflow does not run a full vehicle-maintenance program with service intervals — Kasura tracks only a maintenance status flag alongside the return.
- This workflow does not automatically verify a driver's license — license details, where stored, are not automatically checked at return.
