How to Create a Booking in Kasura
A booking in Kasura is the record reserving a specific asset for a specific customer over a specific period, including price, deposit and payment state.
What creating a booking means
Start by choosing the vehicle or accommodation unit and the customer. Then set the dates and complete the booking details. Kasura keeps the steps together in one scrollable form, with sections suited to your workspace. Vehicle and accommodation bookings follow slightly different paths, so here's what to expect in each.
Vehicle booking sequence
1. Vehicle and customer
Staff select the vehicle, then select an existing customer or add a new one.
2. Dates and duration
Choose when the rental starts, then set its duration or end date and time. The date picker highlights partially available and unavailable periods for the selected vehicle, helping you find a suitable rental window before confirming.
3. Delivery and collection
Where enabled, staff can add a delivery address, a collection address, scheduling and an associated fee.
4. Price and deposit
Where pricing is enabled, staff enter the total price and deposit for the booking.
5. Confirmation or rental start
Staff either create the reservation to book the vehicle for later, or start the rental immediately, which continues straight into the pickup flow.
Accommodation booking sequence
1. Unit and customer
Staff select the room or unit, then select an existing customer or add a new one. For dorm-style units, the number of guests is recorded as well.
2. Stay type and dates
Choose a short-term or long-term accommodation booking. For long-term bookings, select one-time or monthly billing. Then set the check-in date and length of stay or check-out date. You can also adjust the check-out time when needed.
3. Price and deposit
Staff enter the total contract value and deposit; unlike the vehicle sequence, this is always part of an accommodation booking rather than a setting-gated addition.
4. Confirmation or check-in start
Staff either create the booking to reserve the unit for later, or start check-in immediately.
Availability and conflict checks
Before you confirm a booking, Kasura checks the selected vehicle or accommodation unit against its existing bookings in Kasura. Unavailable and partially available dates are highlighted, so you can adjust the rental period if needed. If the selected dates overlap with an existing booking, Kasura blocks the conflicting reservation and shows a message explaining why.
Price, deposit and payment recording
Add the price and deposit when creating the booking. For vehicle rentals, these fields depend on your pricing settings; for accommodation bookings, they're always included. Creating the booking records the amounts but does not collect payment. Payment and deposit status start as unpaid and can be updated later through separate payment actions.
Booking confirmation or start action
Ready to finish? For vehicles, choose Create reservation to reserve the vehicle for later or Start rental to begin pickup now. For accommodation, choose Create booking to reserve the unit or Start check-in to begin the guest's arrival process immediately.
What this workflow does not mean
- Creating a booking is not a rigid, multi-page wizard — it is one scrollable form organized into clearly labelled sections.
- Kasura's availability check is not an absolute guarantee against double bookings; it blocks known conflicts against existing bookings in Kasura, nothing more.
- Creating a booking does not check availability against any external channel or OTA — Kasura has no channel-manager availability sync.
- A booking cannot be created across two workspaces at once — the asset belongs to a single workspace, and the booking stays in that workspace even though the customer profile is shared within the business account.
- Vehicle and accommodation workspaces share customer profiles within the business account, but each workspace keeps its own bookings and booking history; a shared profile does not grant access to another workspace's bookings.
