Workflow
Creating a booking
Staff create a booking for one customer and one vehicle or unit. A website request is not a booking until it is accepted.
What recording a booking means
Creating a booking reserves one vehicle or one unit for one customer and one period. The price and the security deposit sit on that booking. The form does not take payment.
Vehicle booking
1. Vehicle and customer
Staff choose the vehicle, including a motorcycle or scooter, then pick a customer in this Workspace or add one.
2. Dates
Staff set the start, then the duration or the end. The calendar marks partly available and unavailable dates from bookings already saved.
3. Delivery address
If the Workspace has it on, staff can store a delivery address, a collection address, a time, and a fee. That is an address on the booking. It is not driver dispatch.
4. Price and security deposit
If pricing is on, staff enter the rental price and the security deposit. The security deposit is not the rental prepayment and not a booking deposit.
5. Save or start release
Create reservation saves the booking for later. Start rental opens release. The rental is active only after release.
Stay booking
1. Unit and guest
Staff choose the room or unit, then the customer. A dorm-style unit can also record how many guests.
2. Stay dates
Staff choose short term or long term. A long stay can be billed once or monthly. Then they set check-in and either the length or the check-out date, with an optional check-out time.
3. Price and security deposit
Staff enter the stay price and the security deposit. On a stay this section is part of the booking, not an optional pricing switch.
4. Save or start check-in
Create booking reserves the unit for later. Start check-in opens check-in. This is not vehicle release.
Availability
Before the booking is saved, Kasura checks that vehicle or unit against bookings already in this Workspace. Partly available and unavailable dates are marked. An overlap is refused. Dates outside Kasura are not part of the check.
The money record starts unpaid
The price and the security deposit are stored when the section is on, or always for a stay. The booking starts with the rental payment unpaid and the security deposit unpaid. Later payment actions update those statuses. Creating the booking does not move money.
Two save buttons
A vehicle Workspace shows Create reservation or Start rental. A stay Workspace shows Create booking or Start check-in. The first saves the booking. The second opens release or check-in.
What this workflow does not mean
- It is one scrolled form in sections, not a multi-page wizard.
- The overlap check sees bookings in this Workspace. It does not promise the vehicle is free on another website.
- There is no channel manager and no Airbnb or Booking.com sync.
- A booking belongs to one Workspace. The vehicle and the customer are both in that Workspace.
- A vehicle Workspace and a stay Workspace do not share one customer list.
Common questions
Is a booking request already a booking?
No. A request from the booking form waits until staff accept it. Until then it is not an active rental.
Is Create reservation a different record?
No. Create reservation is the on-screen label that saves a vehicle booking for later. The record is still a booking. It becomes an active rental at release.
