How Vehicle Pick-up Works in Kasura

Pick-up is the vehicle handover process in which staff confirm payment and deposit state and record fuel level and odometer reading before the customer takes the vehicle.

When this workflow is used

This workflow runs when a reserved vehicle booking is ready to start and the vehicle is about to leave with the customer. Staff open it directly from the reservation, or move straight into it from booking creation when 'Start rental' is chosen instead of 'Create reservation'.

Before pickup

Pick-up is available once a reservation exists for the vehicle. If another booking on that same vehicle is still active and has not yet been returned, Kasura blocks pick-up until that earlier booking is closed out.

Customer verification

Where a customer record already holds driving-licence details — number, class, expiry date and a photo — staff can check them against the physical licence during handover. Kasura does not verify these details against any authority and performs no automatic document check.

Visible and required fields

Fuel level, odometer reading, helmet count and condition photos each have their own visibility setting per workspace, and any of them can additionally be made mandatory before pick-up completes. A workspace that tracks none of these can hide them entirely, and a field left optional simply shows a reminder rather than blocking pick-up.

Vehicle handover

Staff enter the fuel level and odometer reading at handover where those fields are visible, and record the number of helmets going out with the vehicle where helmet tracking applies. Condition photos and a free-text note can be added under an optional details section.

Deposit and payment state

Staff mark the rental payment and the deposit as paid or unpaid, matching the deposit that was set when the booking was created.

Rental start

Confirming pick-up sets the booking to active and records the pick-up time. For a vehicle booking, it also fixes the due-back time that the eventual return is checked against.

Resulting operational state

Once pick-up is confirmed, the booking becomes an active rental, and the vehicle is treated as out with the customer until it is returned.

How this differs from accommodation check-in

Accommodation check-in shares the same underlying dialog component but is a functionally different process: it has no fuel, odometer or vehicle-condition field, and its trigger is a guest taking occupancy of a unit rather than a vehicle leaving the premises.

What this workflow does not mean

  • A stored driving licence is not checked against any government authority — the details are for staff reference only.
  • No document is scanned or automatically read; every field at pick-up is entered by a staff member.
  • Kasura does not track a vehicle's location — no GPS or location data is recorded at pick-up or afterward.
  • Vehicle condition is never assessed automatically; a note or photo only exists if a staff member adds it.
  • Pick-up requires an active connection — there is no offline mode.
  • No external verification or identity service is contacted; everything shown here comes from Kasura's own stored records.
