How Accommodation Check-in Works in Kasura

Check-in is the accommodation process in which staff confirm payment and deposit state as a guest takes occupancy of a unit — with no fuel, odometer or vehicle-condition field.

When this workflow is used

This workflow runs when a guest's stay is ready to begin and the guest is about to take occupancy of an accommodation unit. Staff open it directly from the booking, or move straight into it from booking creation when 'Start check-in' is chosen instead of 'Create booking'.

Before check-in

Check-in is only available on or after the booking's scheduled start date. Kasura also blocks check-in while the unit's readiness status is dirty or being cleaned, so a guest cannot be checked into a room that is not yet ready.

Guest information

Staff see the guest's existing customer record at check-in — the name and contact details entered when the booking was created. No passport or other identity document is scanned or read automatically; any identity details on file are shown for staff reference only.

Deposit and payment state

Staff mark the rental payment and the deposit as paid or unpaid, and can choose how the deposit is held: as a cash amount, or as a passport or ID document kept at the property instead of cash. Selecting a held document only records that choice — Kasura does not scan or verify the document itself.

Occupancy start

Confirming check-in sets the booking to active. The unit's readiness status is not changed by check-in itself; it only changes at check-out, once the stay ends.

Resulting operational state

Once check-in is confirmed, the booking becomes an active stay, and the unit is occupied until check-out closes it.

How this differs from vehicle pickup

Vehicle pick-up shares the same underlying dialog component but is a functionally different process: it records fuel level, odometer reading and vehicle condition, none of which apply to accommodation check-in, and its outcome is a vehicle leaving the premises rather than a guest occupying a unit that stays on-site.

What this workflow does not mean

  • A passport or other identity document is never scanned or read automatically — any document held as a deposit is recorded as a type only.
  • Check-in draws only on bookings created directly in Kasura; no OTA or booking channel is synced.
  • No channel manager exists in Kasura, at check-in or anywhere else.
  • Cleaning tasks and staff assignments are outside this workflow — check-in is not a housekeeping task-management suite.
  • Fuel, odometer and vehicle-condition fields belong to vehicle pick-up; none of them appear here.
  • Fast Track has no accommodation equivalent — it is a vehicle-return shortcut only.
