Workflow

How Creating a Booking Works in Kasura

A booking in Kasura is the record reserving a specific asset for a specific customer over a specific period, including price, deposit and payment state.

What creating a booking means

Creating a booking reserves a specific vehicle or accommodation unit for a specific customer over a specific period, with price, deposit and payment state attached to the same record from the start. The dashboard presents this as one scrollable form organized into clearly labelled sections rather than a multi-page wizard, and the exact section order differs by workspace type.

Vehicle booking sequence

  1. 1. Vehicle and customer

Staff select the vehicle, then select an existing customer or add a new one.

  2. 2. Dates and duration

Staff set the start date and time, then the duration or end date and time. The date picker marks periods that are partially available or unavailable for that vehicle.

  3. 3. Delivery and collection

Where enabled, staff can add a delivery address, a collection address, scheduling and an associated fee.

  4. 4. Price and deposit

Where pricing is enabled, staff enter the total price and deposit for the booking.

  5. 5. Confirmation or rental start

Staff either create the reservation to book the vehicle for later, or start the rental immediately, which continues straight into the pickup flow.

Accommodation booking sequence

  1. 1. Unit and customer

Staff select the room or unit, then select an existing customer or add a new one. For dorm-style units, the number of guests is recorded as well.

  2. 2. Stay type and dates

Staff choose a stay type — short term or long term, with a one-time or monthly billing cycle for long-term stays — then set the check-in date and either a length of stay or a check-out date, with an optional override for the check-out time.

  3. 3. Price and deposit

Staff enter the total contract value and deposit; unlike the vehicle sequence, this is always part of an accommodation booking rather than a setting-gated addition.

  4. 4. Confirmation or check-in start

Staff either create the booking to reserve the unit for later, or start check-in immediately.

Availability and conflict checks

Before a booking can be confirmed, Kasura checks the selected asset's availability for the chosen period against its existing bookings in Kasura. The calendar visibly marks partially available and unavailable ranges, and confirming a period that conflicts with an existing booking is blocked with a message that the asset is already booked for that period.

Price, deposit and payment recording

Price and deposit are recorded on the booking at creation where pricing is enabled or the workspace is an accommodation. Creating a booking does not itself collect payment: the booking starts with an unpaid payment state and an unpaid deposit state, both updated later through separate payment actions.

Booking confirmation or start action

The final action is one of two explicit choices, worded per workspace type: 'Create reservation' or 'Start rental' for vehicles, 'Create booking' or 'Start check-in' for accommodation. The first choice reserves the asset for later; the second begins the pickup or check-in flow immediately.

What this workflow does not mean

  • Creating a booking is not a rigid, multi-page wizard — it is one scrollable form organized into clearly labelled sections.
  • Kasura's availability check is not an absolute guarantee against double bookings; it blocks known conflicts against existing bookings in Kasura, nothing more.
  • Creating a booking does not check availability against any external channel or OTA — Kasura has no channel-manager availability sync.
  • A booking cannot be created across two workspaces at once — the asset and the customer selected both belong to a single workspace.
  • Vehicle and accommodation workspaces do not share one combined customer base for booking purposes; each workspace keeps its own customer records.
